Common Practice and New Moves

  • Greeters

    • 10-10-10 (Switching from 15-10-10)

      • 10 min. before service at stations

      • 10 min. after service begins

      • 10 min. before end of service

    • Discerning the weather!

      • Be cautious of and discerning about propping open or continuously holding open doors. Since our atrium leads and is connected straight to where people are, our climate control is greatly impacted. Even humidity levels make a significant impact in the Worship Center.

  • Hosts - Thank You

    • As we have seen growth, we have also seen people struggling to feel comfortable. Keep an eye on people who don’t look comfortable entering service.

  • Moving Check-In

    • Room 5 response after services is a huge success

      • Scott and others ministering to people need this room

    • Our simple purposes will be moving the check-counter to Room 7

      • Meet in there 15 minutes before services

      • 10 minutes before service Worship Ministry needs the room alone for prep and prayer

  • Will be opening up a new team - Offering Team

    • Our congregation is growing and our room will soon be growing by 200 seats

    • A team of 8 that is ready right after communion goes through

    • This will allow an even and steady flow of communion and offering

    • It also helps recapture about 2-4 minutes of downtime during service

      • With only an hour together during the week, every minute is gold and prime for communicating and experiencing the gospel!

 

Prayer

 

  • We will be getting together and praying 15 minutes before each service

    • This is for team recognition so we can know who we are serving with

    • Allows us to connect on a spiritual level as a team

      • We need each other and we definitely need Jesus to be a part of everything we do!

    • Also an opportunity for me to give everyone a heads up of any special things happening or notes about serving - devotionals or “wins” from our team.

    • If you are there and get your name tag early, hang out there until prayer! :)

 

 

Planning Center

 

  • As we grow - we want to grow right along with the church

    • New building, new facilities, and new people

    • We need managing facilities and teams to be efficient

    • If you hear verbage that is towards the Worship Team, it’s because it was designed for church wide scheduling.

    • We will still be scheduling according to the current 1-weekend-a-month role assignments and roles will not change

      • This is now integrated with our church wide directory

      • Most of this, if not all, will already be filled out for you as we are transferring info we gathered from The City. Simply check in, make sure everything is up to date, and add a photo! (Yeah, it really does help!)

  • Each person who serves (ex. husband AND wife) need to have profiles to fill out the schedule correctly

    • Emails can still be sent to the same email address

    • Both with need to be “Accepted” or “Declined”

  • Block out dates

    • You also have the opportunity to block out dates you cannot serve.

      • Say, if you know you are going on vacation, out of town for Thanksgiving, etc.

    • This way, when I got to send out our scheduling requests, it will tell me you aren’t available right then and there

  • Links with iCal or Google Cal if you would like

 

Being Scheduled

 

  • Email - Accept or Decline (Essential!)

    • Accept

      • Very important to this new system!

      • Allows us to know the role is filled and don’t have to find replacement.

    • Decline

      • You can give a reason that you are declining if you want

      • When you decline, think of it as it is helping me! :)

      • Please decline so I can start finding a replacement.

    • Sign Up’s

      • There will be an email containing “signup sheets” within Planning Center that get released when we need to fill schedules for big events, like Easter or Christmas.

      • This allows you to see the needed roles and fill in where you wish to serve.

  • Sunday’s

    • You will still be scheduled once a month within the two separate teams - 9:30 and 11:00 AM (same as current).

    • Planning Center allows us to see scheduling conflicts as well.

  • SMS Texting List

    • You can receive SMS text messages for assignment requests that you simply respond by texting back “yes” or “no”.

    • To set this up, email me, text me, or come see me.  

    • I will need your name, number, and mobile service provider.

  • Order of service

    • Some may have noticed I was adding the Order of Service to our last few Guest Ministries posts - PCO is where that was coming from. This shows the entire layout of the service that Taylor has set up.

  • Replacements done different

 

  • You are able to Decline when unable to serve

  • Your job isn’t to find a replacement, it’s your job to respond!  :)

  • We are going to fill spots in the schedule differently

    • Say, if someone declines a door greeter position. I will send out requests to individuals who are also trained in that position. I will look at the last time you served, how many times you have served, etc.

    • You may decline a replacement request, I will not be offended. I will send out requests until the schedule is filled. But PLEASE respond!

  • AND, on that note, once this system is safely in place, we will start some heavy recruiting for GM. I didn’t want to mass invite people into and old system and then switch on them 2 weeks later!

    • I will diligently work on filling schedules and having alternates

  • From this point on, you will be getting scheduled through planning center for Guest Ministries

  • As we phase out of The City, it’s important that you know my email and phone number

  • At bare minimum, this gives us the ability to schedule you in an efficient way that is more convenient for you and your busy schedules, BUT ONLY if you respond to these emails, texts, or app notifications. Quick, easy, and efficient.

 

 

  • But at MOST, this is an awesome tool for your busy schedule, quickly communicating your availability, see the entire schedule of who is serving where, and an impressive view of everything that’s going on during the service on a Sunday morning.

 

  • There’s a slight learning curve, but after 2 weeks of using it, it will feel refreshingly simple compared to our patchwork system we were before.
